What It Does

Most home service businesses have hundreds or thousands of past customers sitting in a spreadsheet, old CRM, or job management system that haven't been contacted in months or years. You already paid to acquire those customers through advertising, word of mouth, or just the cost of doing the work. The Database Reactivation Engine sends a targeted, personalized outreach to those dormant contacts and converts a percentage of them back into booked jobs — without spending a dollar on new advertising.

The Core Idea

Every contact in your database represents a customer or lead who already knows your business. They had their HVAC serviced, their plumbing repaired, or their roof inspected. They have a home that needs ongoing maintenance. The only reason they haven't called you back is that no one has reached out. The Database Reactivation Engine fixes that.

This is not a mass marketing blast. The outreach is paced, personalized, and conversational. It reads like a message from someone at your business who remembered them — not like a promotional email.

The 4-Step Process

1. Import and Clean

You provide a contact list: past customers, old leads, CRM exports, spreadsheets, or paper records that have been digitized. TechForce cleans the list, removes duplicates, formats it for import, and loads it into your TechForce portal. No technical work required on your end beyond handing over the file.

2. Reactivation Campaign

Once contacts are imported, an automated SMS and email sequence goes out over 2 to 3 weeks. The sequence is spaced out intentionally. Each touch is short, personal, and includes a clear way for the contact to respond or book. The campaign does not send every message at once — it paces outreach to feel like individual follow-ups, not a newsletter.

3. AI Reply Handler

When contacts reply, an AI assistant in your TechForce portal handles the conversation. It qualifies interest, answers basic questions, and offers a booking link. You can step in and take over any conversation at any point. Replies that the AI cannot handle (angry contacts, complex service questions) are flagged for your attention.

4. Monthly Rotation

After the initial campaign completes, a lighter monthly touchpoint keeps your database warm. This is 1 to 2 messages per month with a different angle — a seasonal reminder, a maintenance tip, or a simple check-in. It prevents the list from going cold again.

What to Expect

Reply rates for well-maintained, relatively recent lists typically fall between 3% and 8% of contacts messaged. On a list of 1,000 contacts, that is 30 to 80 conversations started. Not all replies convert to bookings, but a typical conversion rate from reply to booked appointment runs between 30% and 50% with proper AI handling.

Most clients see their first replies within 3 to 7 days of the campaign launching.

These figures vary based on list quality, recency, and how competitive your market is. A list of customers from the last 2 years will outperform a list of leads from 4 years ago.

What It Does Not Do

  • Does not scrape or source new contacts. The engine only works with contacts you already have. It does not purchase lists or pull data from directories.
  • Does not work without a prior relationship. Every contact must have had some prior interaction with your business — a job completed, a quote requested, or a form filled out. Reactivation assumes that prior relationship as the basis for outreach consent.
  • Does not replace advertising. The Database Reactivation Engine extracts revenue from your existing database. It does not generate net-new leads. Both functions are complementary.
  • Does not require technical setup from you. TechForce handles import, workflow configuration, and AI training. Your job is to provide the contact list and respond to escalated conversations.
